Consolidate Line Item Detail

In some instances, you may not want to see all of the line item breakout on your bills or receipts. In this document, we will walk through the various tools under bill processing and while reviewing a bill that you can use to consolidate the line items:

• Consolidated Bill/Receipt Items Sync - This will show all of the line item data in MakersHub that you can use to run reports but will consolidate the data when you sync with QuickBooks.

• Disable Extract Bill Items/Receipt Items - This will train MakersHub to only read the totals and not extract line items for each bill.

• Collapse Line Items - This will train MakersHub to collapse items on bills from specific vendors.

Consolidated Bill/Receipt Items Sync (Most Common)

Consolidated Bill/Receipt Items Sync shows the line item breakout in MakersHub, but consolidates lines with the same accounting configuration (Product/Services,  Customer/Project, Class, and Billable Status). This gives you the added benefit of storing the line item data with MakersHub to run analysis later on while keeping the lines in your QuickBooks clean. 

Navigate to Admin>Bill Settings>Bill Processing. Enable Extract Bill/Receipt Items as well as Consolidated Bill/Receipt Items Sync.

In doing so, when you approve a bill like the one shown below…

…all of the Cost of Goods Sold will be consolidated together when synced with QuickBooks.

Disable Extract Bill Items/Receipt Items

Should you want to only see the total amount for each bill/receipt and not extract the line items, toggle off Extract Bill Items and Extract Receipt Items.

Bills uploaded will then only have one line item for the total amount (shown in the example below).

Collapse Line Items

If you want to see one line item for the total amount only for certain vendors, you can use Collapse Line Items.

To get started, ensure you have Extract Bill Items and/or Extract Receipt Items enabled.

Navigate to the bill you want to collapse into one line and click Collapse Line Items.

Input a description for the new line item and click the Blue Check.

Now the bill will show as one line item with the description provided and collapse all bills from this vendor in MakersHub.
