    Introduction

    This document explains how to create an Approval Workflow. Assigning the correct approvers ensures that the right people in your organization are involved in the bill approval process, which may vary from bill to bill. MakersHub makes it simple to assign roles for any business structure.

    Before you begin, be sure to review User Settings and User Groups so that all necessary parties can be added to the approval process.

    For this exercise, we will be in the Admin Settings page. To navigate there, select your name in the top right of the home screen and select Admin. Navigate to Bill Settings. Toward the middle of the page, you will see the Approval Workflow section.

    Creating an Approval Rule

    Key Things to Remember

    • Rules are read in an “If, Unless” manner. Rules lower in the approval workflow take higher priority and can overwrite previous rules.

    • Admins can approve a bill without it needing to go through the approval workflow. To disable this feature so that the approval workflow is always followed, toggle on Disable Admin Override in Bill Settings. This can always be toggled off.

    • Any updates made to the approval workflow will be applied to future bills imported into MakersHub. Use the Apply Rules to Active Bills to apply any changes made to the approval workflow into the queue.

    To create a new approval rule:

    1. Select the Add button on the left side of the page.

    1. Click the Drop Down which defaults to Total Amount and choose the condition in which you want the rule to activate.

    2. In the second box, determine the value or text criteria that will activate the rule. If entering text, be sure to separate values with commas.

    3. Select the Select an Approver dropdown to determine who in the organization the rule will map to. Select the Blue Plus Sign if multiple approvers/approver groups are required for a single rule. If you wish for approvals to take place sequentially and not in parallel select the Approve sequentially checkbox.

    4. Add optional Tags to help track and sort bills later on.

    5. Click the blue Update Settings button to save the changes. To apply the rules to current bills select the Apply Rules to Active Bills button in the top right corner of the page.
