Office 365/Outlook

This document will walk through how to configure auto-forwarding for a shared Office 365 inbox. Office 365 does not allow users to auto-forward directly to external inboxes due to its strict default security, so to allow auto-forwarding, we need to adjust the rules to allow your AP inbox to forward emails. From there, we can create a rule in your inbox to auto-forward bills to your dedicated MakersHub AP inbox.

Anti Spam Filter

In your admin role of 365 go to the following, https://security.microsoft.com/antispam and on that page select "+ Create policy" and choose "Outbound"

  • Give your new outbound spam filter policy a name and description.

  • Click Next, then search for and select the user account you want to allow external forwarding for (your AP inbox associated with your company’s domain).

  • Click Next again, scroll down to the Forwarding rules section, and click the dropdown under Automatic forwarding rules. Choose On - Forwarding is enabled, then click Next.

Now you have allowed auto-forwarding to external recipients from your AP inbox. The next step is to direct which emails you want to auto-forward and create a rule in Outlook.

Locate Your AP Inbox

Navigate to your name in the upper right corner, click Admin. Under the Bill Settings you can find your unique AP Inbox.

MakersHub Only Processes Valid Attachments

When processing emails, we look for attachments (pdf, jpeg, png, xls, doc, heic) or images within the email to process. At this time, we are not able to process bills included as text within the body of the email. In these situations, you may use the snipping tool and paste the bill into MakersHub.

Outlook Auto Forwarding Setup

Once anti spam filter has been updated go back into Outlook and click the Gear Icon in the upper right corner, Select Mail, select Rules, and click Add New Rule.

  • Name your rule: Enter a name for your rule. In the example below, it is named, MakersHub Attachment Forwarding.

  • Add a Condition: Has Attachment

  • Add an Action

    • Select Forward to: YourMakersHubAPEMail@MakersHub.ai

    • Select Categorize: Add a new tag for MakersHub under the drop down. This will allow you to know if an email has been forwarded.

  • Save
